Built for repeat-visit businesses

Barbershop client retention software

Barbershop client retention is how many of your clients come back for their next cut, and how close to on time they return. RetentionTek is client retention software for barbershops. It reads your completed visit history, learns when each regular is usually due, and shows you who is late. Then Reti helps you draft a message you edit and approve. It does not replace your booking app or POS.

The problem

Retention is not a guessing game

Most service businesses track bookings, not returns. Completed visits tell you who actually comes back. RetentionTek starts with completed visit history, not future appointments.

The regular who quietly stops coming

Every shop has them. A client who sat in the same chair for a year, then one month just did not show up. No complaint, no cancellation, nothing on the calendar. You only notice weeks later, if you notice at all. Booking apps are good at telling you who is coming in today. They are not built to tell you who stopped. That is the gap RetentionTek fills. It looks backward at the visits that actually happened and asks a simple question for every client, are they on their usual rhythm, or are they late? When you catch a regular early, a short personal note is often all it takes. When you catch them six months later, they may already have a new barber.

See who is overdue, client by client

RetentionTek learns an expected return window from each client's own history. A client who comes in on a tight rhythm gets a tight window. A client who comes in less often gets a longer one. When someone passes their expected return date, they move into the overdue list. Each row shows the last completed service, the date the client was expected back, and how many days overdue they are. The review queue orders clients by recency, frequency and value, so the people worth a call first sit at the top. Looking at the list does not contact anyone. One time visitors do not have a rhythm yet, so they do not get a learned return window. That keeps them from crowding out the regulars you actually want to protect. The Retention Score tracks them in a separate way, 40 percent of the score is first to second visit conversion, so you can see how many new clients come back at all.

Bring them back with a message you wrote

Ask Reti to draft a message for any client on the list. The draft uses their visit history and the reason they were flagged, like the last service and how long it has been. Change the tone, add a line, or rewrite it. Nothing sends itself. You review every draft before anything goes out. Reti can draft 10 messages per workspace per UTC day. That is plenty for a weekly review of the regulars who are slipping. Automatic campaigns are not available, and SMS is not active in the current release.

Works with your POS export

You do not need a new booking system. Export your completed visits from the POS or booking app you already use, as a CSV or XLSX file, and upload it. RetentionTek accepts files up to 2 MiB, 5,000 rows and 80 columns. It maps client identifiers, visit dates, attendance status, location and service category, and it removes duplicate rows so nobody gets counted twice. There is no direct connection to booking platforms today. Logos on the site do not mean a live connection. You stay in charge of what you upload, and we read the file you give us. We do not verify it.

How it works in three steps

1. Import visits. Upload a CSV or XLSX export from your POS. 2. See who is late. Review return windows, the overdue list and your Retention Score. 3. Reach out. Ask Reti for a draft and review it before anything goes out.

Honest limits

The Retention Score stays withheld until enough of your clients have a completed return period. Below 30 mature customers per component you still see the visit data and the overdue list. SMS is not active. Playbook messaging stays in simulation. RetentionTek does not book appointments, take payments or send reminders. The score measures returns, not money.

How it works

From visits to a decision in three steps

01

Import visits

Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.

02

Understand the evidence

Review an explainable score and the return patterns behind it. See what the history supports and where it is incomplete.

03

Choose what happens next

Use the review queue to prioritize attention. A team member reviews the evidence and approves the next step.

RetentionTek's Retention Agent explains the score and supports the review workflow. Reviewing a signal does not automatically contact a customer or book an appointment.

Honest limits

What you should know before you start

SMS is not active

Email drafting and sending from your own inbox are the available channels.

Score withheld under 30 mature customers

The Retention Score is withheld when fewer than 30 mature customers exist per component. You still see the raw visit data and the overdue list.

No automatic sending

Reti drafts messages you edit. You approve the send from your own connected inbox. Nothing sends without your explicit approval.

Not an EMR

RetentionTek does not store medical records, diagnoses, or treatment notes. It works with operational visit data you export from your booking system or POS.

Frequently asked questions

Practical answers

What is barbershop client retention?

It is how many of your clients come back for their next cut, and how close to their usual rhythm they return. RetentionTek measures it from your completed visits and shows who is overdue.

Can I import from my barbershop POS?

Yes, through a file. Export completed visits as CSV or XLSX, up to 2 MiB, 5,000 rows and 80 columns, then upload it. There is no direct POS connection today.

How do walk ins show up?

A client with only one visit has no rhythm yet, so they do not get a learned return window. They still count toward first to second visit conversion in the Retention Score.

Does RetentionTek text my clients?

No. SMS is not active. Reti drafts a message and you review it before anything goes out. Nothing sends automatically.

Do I need to switch booking apps?

No. Keep your booking app or POS. RetentionTek works from an export of completed visits.

How much does it cost?

Core is $249 per month or $2,490 per year, with a 14 day free trial. Card required, and you won't be charged if you cancel in the first 14 days.
